SaaS renewal management before the contract rolls forward.

A SaaS renewal is a product decision with a contract deadline. IT needs enough time to review usage, seats, integrations, service risk, spend, and alternatives before the notice period removes leverage.

Assign one accountable renewal owner

The business may own the outcome while IT owns the agreement, or the reverse. Name one person responsible for moving the decision forward. Record the stakeholders who provide usage context, budget approval, security review, procurement support, or migration planning.

Start from the notice deadline

Work backward from the last date when cancellation or contract changes are allowed. The expiration date is too late for many SaaS agreements. A 90-day notice period can turn a December renewal into a September decision.

Review usage without confusing activity with value

Seat activity is useful evidence, but it is not the whole decision. Check licensed seats, active users, role coverage, critical workflows, integrations, support demand, roadmap fit, and switching cost. Separate seats that can be removed from capabilities the organization still needs.

Normalize the spend

Annualize monthly, quarterly, and multi-year costs so the portfolio is comparable. Track the amount that will roll forward automatically and note any expected price change, growth tier, minimum commitment, or implementation cost.

Prepare four possible outcomes

  • Renew on the current scope.
  • Renew with fewer seats, different terms, or another service tier.
  • Cancel because the product is no longer needed.
  • Replace it, with enough lead time to migrate data, integrations, and users.

A collaboration tool renews November 30 with 90 days' notice. The decision deadline is September 1. The review begins in July so the owner can check adoption, remove inactive seats, confirm integrations, compare terms, and prepare a replacement option before negotiation starts.
