Vendor agreements and notice windows

Contract renewal management software

Contract renewal management software is a register for agreements approaching a renewal. It records the vendor, owner, cost, expiration date, notice period, decision deadline, and auto-renew status so the choice is made before the notice window closes. My Renewal Desk is free browser-based software that stores that register in the current browser profile.

What this register is for

The job is the renewal decision on a technology contract: software, cloud, support, a certificate, a circuit, a warranty, or a managed service. The register exists so that decision is dated, owned, and tied to the spend that rolls forward. It is not a property or tenant renewal system, and it is not a full contract lifecycle platform that stores files, edits clauses, or routes signatures.

What to track

A useful contract renewal record is small and specific. Track these facts for each agreement:

  • Agreement name and vendor
  • Category, such as SaaS and software, cloud and hosting, domains and certificates, support and maintenance, hardware warranties and leases, telecom and connectivity, or managed services and infrastructure
  • Accountable owner
  • Expiration date and notice period in days
  • Decision deadline, which is the expiration date minus the notice period
  • Cost and billing cadence: monthly, quarterly, annual, or one-time
  • Whether the agreement auto-renews
  • Tags or notes for continuity risk
  • The last outcome: previous and new expiration dates, previous and new cost, and a decision note

My Renewal Desk stores those fields in the browser. The starting categories cover that technology list, and you can add category, owner, and tag names. The contract renewal tracking guide explains how the expiration date and the notice period become the decision deadline.

Vendor contracts, without a contract repository

Vendor contract management software often means a repository: the signed file, approvals, obligations, and a place to negotiate. The renewal decision needs a smaller record. For each vendor contract, the operator still has to know who owns it, what it costs, when notice is due, and whether silence becomes another term.

My Renewal Desk records those renewal facts for a vendor agreement. It does not store the contract file, route approvals, negotiate terms, or provide a shared vendor workspace. If the gap is the file and the negotiation, use a broader platform and keep the dates in a register. If the gap is knowing which vendor commitment renews next, the register is the tool.

How My Renewal Desk fits

My Renewal Desk keeps one register in IndexedDB for the current browser profile. There is no account. For each agreement you enter the name, vendor, category, owner, tags, cost, billing cadence, expiration date, notice period, and auto-renew status. The workspace calculates the decision deadline, annualizes monthly and quarterly costs so committed spend is comparable, and separates agreements that renew automatically. When a term completes, renewal history keeps the previous expiration date, the new expiration date, the previous cost, the new cost, and a note.

Portability is a file you choose to download. JSON export is the complete backup, including history, lists, settings, and integrity metadata. CSV exchanges rows with a spreadsheet. A calendar download adds one event for a decision deadline or an expiration date, and the calendar view can export the set of events. Nothing is uploaded, and nothing is synchronized to a server.

The same boundary is deliberate. My Renewal Desk does not send email or in-app reminders, negotiate with vendors, discover applications, route approvals, or run a shared team workspace. The renewal workflow shows capture, the attention window, and the JSON backup. The free contract renewal tracker page states what the free register is, and what a full contract platform still has to provide.

A notice-window example

A vendor support contract expires on June 30 and requires 60 days of notice. The decision deadline is May 1. Before May 1, the owner confirms the service is still required, checks the annualized cost, notes continuity risk, and records renew, replace, or retire. Waiting until June records the expiration. It does not reopen a notice window that already closed.

Where a broader platform still belongs

Choose a full contract or procurement platform when the work is document redlining, approval routing, obligation tracking, application discovery, or a negotiator working the vendor. My Renewal Desk is the browser-local register for the decision date, the owner, and the committed spend. The IT renewal management software page covers that operating model across the technology estate. A year view of the dates is in the software renewal calendar guide, and SaaS ownership is in the SaaS renewal management guide.

Frequently asked questions

What is contract renewal management software?

Contract renewal management software is a register for agreements approaching a renewal. It records the vendor, owner, cost, expiration date, notice period, decision deadline, and auto-renew status so the choice is made before the notice window closes. My Renewal Desk is free browser-based software that stores that register in the current browser profile.

What should contract renewal management software track?

Track the agreement name, vendor, category, owner, expiration date, notice period, decision deadline, cost, billing cadence, auto-renew status, continuity notes, and the outcome of the last renewal. The decision deadline is the expiration date minus the notice period.

How does My Renewal Desk handle contract renewals?

My Renewal Desk keeps the register in IndexedDB for the current browser profile. It calculates the decision deadline, annualizes monthly and quarterly costs, shows auto-renew exposure, assigns an owner, keeps renewal history, and exports the workspace as JSON. It can download a calendar event for a decision deadline or an expiration date. It does not upload contracts, send reminders, negotiate with vendors, or run a shared workspace.

Is My Renewal Desk vendor contract management software?

It records the renewal facts for a vendor agreement: vendor, owner, cost, expiration date, notice period, decision deadline, and auto-renew status. It does not store the contract file, route approvals, negotiate terms, or provide a shared vendor workspace. Teams that need those functions need a broader contract platform.

Does My Renewal Desk upload contracts or renewal data?

No. Records stay in browser IndexedDB. The application does not upload contracts or synchronize renewal records to a server. A JSON file is the portable backup, and it leaves the browser only when you download it.

Does My Renewal Desk send renewal reminders?

No. My Renewal Desk does not send email or in-app reminders. Decision deadlines stay on the register, and you can download a calendar event for a decision deadline or an expiration date.

Is My Renewal Desk free?

Yes. My Renewal Desk is free browser-based software. It requires no account and stores renewal records in IndexedDB for the current browser profile.
